This policy explains how Bosembo (“we”, “us”, “our”) collects, uses, stores, and protects personal information when you use the Bosembo platform (website, organizer dashboard, and invitation / RSVP pages).

1. Who we are

Bosembo is an event organization platform (weddings, birthdays, conferences) that lets you create an event, manage a guest list, send invitations, collect RSVPs, organize seating, programme, budget and planning, and follow the day of the event.

2. Scope

This policy applies to organizers (accounts created on Bosembo), co-organizers / invited team members, guests who use an RSVP link or receive an invitation, and visitors of the public website.

If you are an organizer, you are responsible for the guest data you import or enter into Bosembo. In that case, Bosembo acts as a technical provider / processor for that data according to your instructions.

3. Data we collect

Depending on how you use the service, we may process the following categories:

  • Organizer account: name, email address, password (stored securely / hashed), or Google identifier if you sign in with Google, and related profile information.
  • Events: title, type, date, location / address, description, details (e.g. couple names, dress code, notes), selected plan, publication status, and related content (programme, budget, tasks, invitation templates, background images).
  • Guests: name, email, phone, postal address (if provided), invitation code / link, RSVP status (yes / no / maybe / pending), assigned table, and metadata related to invitation delivery.
  • Team / staff: name, email, role and authorized modules when you invite collaborators.
  • Payments: chosen method (card, PayPal, Apple Pay), payment status and timestamps. Card fields entered in the simulation UI are not meant for real charges until a production payment provider is connected; do not enter real sensitive payment data outside an official secure checkout.
  • Technical data: server logs, IP address, browser type, pages viewed, cookies or local storage needed for operation (session, language preference), and, where applicable, anti-abuse signals (e.g. Cloudflare Turnstile).
  • Communications: transactional email content (invitation, dashboard link) and support interactions (e.g. messages to hello@bosembo.app).

4. Purposes of processing

We use data to:

  • Provide, operate and secure the platform (account creation, authentication, dashboard, RSVP).
  • Enable event organization (guest list, tables, invitations, PDF / Excel exports, programme, budget, planning).
  • Send invitations and transactional messages (email via our provider; WhatsApp when you choose that channel).
  • Manage plans, payment status and plan-related limits.
  • Improve the service, diagnose incidents and prevent fraud or abuse.
  • Comply with legal obligations and respond to valid requests from competent authorities.

5. Legal bases

Depending on context and applicable law (including Canadian / Quebec privacy law, and the GDPR when it applies), we rely on: contract performance (providing the service), your consent (e.g. certain non-essential cookies, certain communications), our legitimate interests (security, service improvement, abuse prevention), and compliance with legal obligations.

When you add guests, you confirm you have the rights or permissions needed to share their contact details with us for organizing the event.

6. Sharing and processors

We do not sell your personal data. We may share it only with:

  • Technical providers required for the service: hosting, database, email delivery (e.g. Resend), Google authentication, Google Maps / Places address suggestions, bot protection (e.g. Turnstile), and future payment providers when real payments are enabled.
  • Team members to whom you grant access to the event.
  • Authorities or legal counsel if required by law or to protect our rights.
  • A potential acquirer in a merger, acquisition or asset sale, with appropriate safeguards.

7. International transfers

Some providers may process data outside Canada or your country of residence. When that happens, we take steps so that appropriate safeguards are in place under applicable law (contractual measures, provider policies, etc.).

8. Retention

We keep data as long as needed for the purposes described: for the life of your account and active events, then for a reasonable period after archival or deletion for security, evidence, billing and legal obligations.

Temporary RSVP invitation links may expire after a limited time (e.g. a few hours for certain access tokens). Permanent guest codes remain usable while the event and guest exist.

You may request deletion of your account or certain data; we will respond subject to legal or technical retention requirements.

9. Security

We implement reasonable technical and organizational measures: authentication, password hashing, dashboard access control, HTTPS communications, and limited internal access.

No system is perfect. Please use a unique strong password, protect your email inbox, and share invitation links only with intended recipients.

10. Cookies and similar technologies

Bosembo uses cookies and/or browser local storage for login sessions, language (FR/EN), and core service operation. These are primarily necessary for the product to work.

If non-essential analytics or marketing tools are added later, we will update this policy and, where required, ask for your consent.

11. Your rights

Depending on your situation and applicable law, you may request: access to your personal information, correction, deletion, restriction or objection to certain processing, and data portability where applicable.

Organizers can usually edit or delete guest data from the dashboard. For other requests, email hello@bosembo.app with the subject of your request and information that helps us identify you.

You may also lodge a complaint with the competent privacy authority (e.g. Office of the Privacy Commissioner of Canada, Commission d’accès à l’information du Québec, or a relevant European authority).

12. Children’s data

Bosembo is intended for adult organizers. We do not knowingly target children. If you believe a minor provided us data without appropriate authorization, contact us so we can review and delete it when appropriate.

13. Organizer responsibilities

As an organizer, you are responsible for the lawfulness of collecting your guests’ data, the accuracy of information entered, and the messages you send them through Bosembo.

Where required, you should inform your guests that their contact details are used to organize the event (invitation, RSVP, seating, etc.).

14. Changes

We may update this policy to reflect changes in the service, the law or our practices. The “last updated” date will be revised accordingly. For material changes, we may also notify you by email or through the platform.
